Copy Field Values Between PDFs - Free Online Browser Tool

Carry filled values from one version of a form into another, matching fields by name.

Two versions of the same form, one filled and one not, and you need the answers to carry across. That happens more than it sounds like: a contract that gained a field between drafts, an application that was reissued with a new middle page, a form that came back from a client with half the boxes filled in. Re-typing twenty answers to move them one file across is the kind of work people do badly, because the copy and paste happens faster than the checking. This does the transfer by matching fields on their name rather than their position, which matters more than it sounds. Two exports of the same form routinely spell the same field differently - First Name, first_name, FIRST-NAME - because they came out of two different systems. Matching on position would put an answer in the wrong box whenever the two files disagreed about layout, which is exactly when you are relying on it. Case, spaces, dashes and underscores are ignored; everything else has to be the same word. What it will not do is guess. A field with no match is left alone and then listed at the end, so the fields that did not come across are named rather than discovered later. If two fields in the source collide once normalised, the first one wins and the second is skipped - writing both would make the result depend on the order they happened to be read in. You choose whether the source overwrites what is already in the target. The default is yes, because the common case is an empty template; if you are merging corrections into a partly filled copy, turn that off and only the empty boxes get written. The field names have to match on both sides. That is the whole mechanism, and pretending otherwise - matching by position, or by fuzzy guesswork on similar-sounding names - would put real answers into the wrong boxes on a form somebody then signs. When nothing matches at all the tool says so and names the fields it found rather than producing a file that looks fine. If the fields have been baked into the page, Flatten Form Fields is the reason there is nothing to copy, and the tool points at it. Everything runs in this tab; neither file is uploaded.

How to Use the Copy Field Values Between PDFs Tool

Four steps, and the whole thing runs locally on your own device.

  1. Add both files

The one holding the answers, and the one to copy them into. Two files minimum - with one there is no transfer to make.

  2. Say which file is which

If the answers are in the second file, say so. Everything else on the page stays exactly as it was in the file you are writing to.

  3. Choose whether the source wins

Overwrite by default, which suits an empty template. Turn it off to fill only the boxes that are still blank in the target.

  4. Save

One PDF with the values written in, plus a summary naming every target field that had no match. That list is the point of the tool.

Frequently Asked Questions

How does it decide two fields are the same?

By the name, ignoring case, spaces, dashes and underscores. So First Name, first_name and FIRST-NAME are one field. Everything else must match: Department does not match Dept, because guessing that they are the same would put an answer into a box nobody verified.

What happens to a field it cannot match?

It is left as it was, and then listed at the end of the result so you know. That is the reason the tool reports at all - a form that came back looking complete but quietly missing three answers is worse than one that told you.

Will it overwrite what is already filled in?

Yes by default, because copying into a blank template is the usual job. There is a setting to change that, which fills only the boxes that are still empty and is the right choice when merging corrections into a partly filled copy.

Can it match fields that are in a different order?

Yes, and that is deliberate. Matching is by name, not by position, so a form that gained a field in the middle still gets the right answers in the right boxes. A tool that matched by position would silently shift every answer below the insertion point.

Why does it refuse when nothing matches?

Because producing a file that looks fine but is empty would be a false success. When no field name is shared it names the fields it found in the target so you can see what it was looking at, rather than handing over a document that will fail later.
